Official guidelines for rescheduling programs, examinations, and academic timelines at Roosevelt International University of Baptist.
This Rescheduling Policy ("Policy") outlines the guidelines, procedures, and conditions for rescheduling academic programs, examinations, course registrations, and other academic activities at Roosevelt International University of Baptist (RIUOB). All students, faculty, and staff are expected to adhere to these guidelines when requesting any form of academic rescheduling.
Policy Overview
Roosevelt International University of Baptist (RIUOB) understands that circumstances may arise that require students to reschedule their academic commitments. This Policy provides a transparent framework for requesting and approving rescheduling requests while maintaining academic integrity and institutional standards.
The University reserves the right to approve or deny rescheduling requests based on the merit of the circumstances, timing of the request, and compliance with these guidelines.
Program Rescheduling Guidelines
Students may request to reschedule their program start date, course sequence, or program completion timeline under the following conditions:
- Program rescheduling requests must be submitted before the official program start date
- Students may defer their admission to the next available intake without penalty, subject to program availability
- Program rescheduling beyond two consecutive intakes may require reapplication
- Visa or immigration-related rescheduling requests require supporting documentation
- Program rescheduling may affect scholarship or financial aid eligibility
Program rescheduling requests should be directed to the Office of Admissions at admissions@riuob.us.
Examination Rescheduling
Examination rescheduling is permitted only under valid, documented circumstances. Acceptable reasons for exam rescheduling include:
- Medical emergencies with official documentation from a licensed physician
- Family emergencies or bereavement (immediate family only)
- Religious observances requiring absence on exam dates
- Military service obligations
- Legal proceedings requiring the student's presence
Students granted exam rescheduling will take a make-up examination within 14 calendar days of the original exam date, subject to faculty availability.
Course Registration Changes
Students may request changes to their course registration according to the following schedule:
- Add/Drop Period: First 14 days of the term - no penalty, full refund of course fees
- Course Withdrawal Period: Days 15-30 of the term - "W" grade recorded, no refund
- Late Withdrawal Period: After day 30 - "WF" grade recorded, no refund, requires documented extenuating circumstances
Course registration changes must be processed through the Registrar's Office via the student portal or by submitting a completed Course Change Request Form.
Academic Deadline Extensions
Requests for deadline extensions on assignments, projects, or other academic deliverables must be submitted to the course instructor at least 48 hours before the original deadline.
- Short extensions (up to 7 days) may be granted by the course instructor
- Longer extensions (7-30 days) require approval from the Department Head
- Extensions beyond 30 days may require withdrawal and re-registration
- Supporting documentation is required for all extension requests
Repeated extension requests may result in academic review and potential restrictions on future extensions.
Rescheduling Fees & Charges
The following fees apply to rescheduling requests:
- Program Rescheduling Fee: $100 USD (first request), $200 USD (subsequent requests)
- Examination Rescheduling Fee: $50 USD per examination
- Course Registration Change Fee: $25 USD per change after add/drop period
- Administrative Processing Fee: $25 USD per rescheduling request
All rescheduling fees are non-refundable and must be paid before the rescheduling request is processed.
Special Circumstances
The University recognizes that exceptional circumstances may require special consideration. These include:
- Serious illness or hospitalization of the student
- Natural disasters or emergencies affecting the student's location
- Political unrest or travel restrictions
- Military deployment or compulsory national service
- Long-term medical conditions requiring extended accommodation
Special circumstances requests must include comprehensive supporting documentation and will be reviewed by the Academic Rescheduling Committee, which meets monthly to consider such cases.
Decisions regarding special circumstances are final and may not be appealed.
Request Procedure
To submit a rescheduling request, students must follow these steps:
- Step 1: Complete the official Rescheduling Request Form available on the student portal
- Step 2: Attach all required supporting documentation
- Step 3: Pay applicable rescheduling fees (if any)
- Step 4: Submit the request to the appropriate office (Registrar, Admissions, or Course Instructor)
- Step 5: Await approval notification within 5-10 business days
Incomplete requests or requests submitted without required documentation will be returned without processing.
